The Challenge

Located in the historic opera house of Harmony, PA, Wunderbar Coffee & Crepes is known for its locally sourced buckwheat crepes and artisan coffee. However, behind the counter, the business was facing growing pains that threatened its charm and efficiency.

The cafe operated on disjointed islands of technology. Their Point of Sale system handled orders but did not communicate with their financial software, creating a black hole for data. This separation meant that accurate revenue tracking required hours of manual data entry every week.

Furthermore, order accuracy was suffering during peak hours due to a lack of integrated kitchen display systems, leading to waste and delays. On the back end, payroll was a manual nightmare. Tracking hours for baristas and kitchen staff and reconciling them with a separate payroll provider resulted in errors and administrative fatigue. Management spent more time fighting with spreadsheets than creating the "Das ist gut!" experience for their customers.

The Solution

Wunderbar partnered with Vertrex to overhaul their digital infrastructure. The Vertrex team executed a complete digital transformation:

• Data Migration: Vertrex migrated all menu data, inventory lists, and customer information from the legacy systems into Odoo, ensuring a clean start without data loss.
• Odoo Implementation: They deployed Odoo to serve as the central nervous system for the business (POS, Inventory, Accounting). The new POS allowed for complex order modifiers to flow directly to kitchen screens, eliminating handwritten tickets.
• Gusto Integration: Vertrex integrated Gusto directly with the new ecosystem, allowing automated time tracking to flow seamlessly into payroll processing.
• Automation: Automated workflows were established where daily sales data posted directly to the general ledger, reconciling cash and card transactions without human intervention.

The Results

• Improved Quality: Order errors dropped significantly as the kitchen received clear, digital tickets with exact customer specifications.
